New SPAM Filtering Service

As you may have noticed, the emails you receive with your spam report currently include a disclaimer stating “End of service warning.”  Our current anti-spam system will expire at the beginning of 2017 and we will migrate to a new vendor on January 6th 2017 at 6:00 PM. 

 

How will this affect you?


 

  • Please check your quarantined messages through the current system prior to January 6th to ensure that you have released any needed messages.  Quarantined messages will be not be accessible after the migration.
  • The new anti-spam system will send Quarantined email reports once a day, containing all the messages that were quarantined from the previous day.  The report, known as the Spam Digest, is scheduled to arrive between 12PM and 1PM EST daily.  The message will come from noreply@dataprise.net with the Subject: "Daily Spam Digest for {DATE}". 
  • Follow the steps outlined in the attached New User Guide to sign up for the Anti-spam Quarantine portal and access your quarantined email messages.  This step can be completed the first time you receive a Spam Digest.  The new user guide is also saved here: K:\~Staff Resources\Information Sheets.
  • The daily email report will include links to Release or Delete individual messages (i.e., there is no Allow button in the new system).  Releasing a message does not add the email sender as an allowed sender.  Specific email addresses can be set up as allowed in the Anti-Spam Quarantine portal (refer to the New User Guide).
  • In addition to accessing quarantined messages through the daily email, messages can be viewed at any time by logging in to the Anti-spam Quarantine portal (https://antispam.dataprise.net).
  • Allowed Senders are identified as “Friends” and Blocked Senders are identified as “Enemies” in the new system.  Any senders you have identified in the current system as Allowed or Blocked will not migrate to the new system.  Please check your quarantined messages on a regular basis after the migration to ensure you do not miss any messages that are accidentally quarantined.
  • If you notice an email is accidentally being quarantined, or if a spam message comes directly to your inbox, add those emails addresses to the “Friends” and “Enemies” categories within the Anti-spam Quarantine portal (refer to the New User Guide). 
  • Quarantine messages are kept for up to 35 days until they are purged.  We recommend immediately releasing any emails that you require, instead of waiting until the last moment as there is no way to recover an email once it has been purged.
  • The process to encrypt emails will not change.  Type [encrypt] in the subject line of your message. The recipient will then receive a link to create an account on the new system in order to access their message.
